PothLoop Returns & Refund Policy

At PothLoop, we operate a circular bookstore model. Our policies are designed to balance fairness to customers while protecting the sustainability of our book loop.


1. General Policy

All purchases made on PothLoop are final, except in cases outlined below. We do not offer refunds for change of mind.


2. Eligible Return Cases

You may request a return within 3 days of delivery only if:

  • You received the wrong book, or
  • The book is significantly damaged and not as described

All requests must include clear photo evidence.


3. Non-Eligible Cases

Returns or refunds will not be accepted for:

  • Change of mind after purchase
  • Minor wear consistent with used books
  • Personal preferences (e.g., didn’t enjoy the content)
  • Failure to review product details before purchase

4. Condition Expectations

PothLoop sells pre-owned books unless stated otherwise. By purchasing, you agree that:

  • Books may show signs of previous use
  • Minor highlights, creases, or aging may be present

5. Refunds

Once we receive your return and inspect the item, we will notify you of the status of your refund. If your return is approved, we will initiate a refund to your original method of payment. Please note that the refund amount will exclude any shipping charges incurred during the initial purchase.


6. Return Process

  • Contact us within 3 days of delivery
  • Provide order number + photo evidence
  • Wait for approval before returning the item

Returns sent without prior approval will not be accepted.


7. Shipping Costs

  • Original shipping charges are non-refundable
  • Return shipping costs are borne by the customer unless the error is ours

8. Buy-Back (Return for Credit) Policy

This is separate from refunds.

  • Customers may return books for up to 50% store credit
  • Credit depends on:
    • Condition of the book
    • Time taken to return
  • Books with damage (tears, stains, missing pages, heavy markings) may receive reduced or zero credit

All condition assessments are final and determined by PothLoop.


9. Right to Refuse

PothLoop reserves the right to:

  • Reject returns that do not meet these conditions
  • Limit or refuse service in cases of suspected misuse
